NOTICE OF THE 2024 ANNUAL GENERAL MEETING

The Annual General Meeting of Members of the ACT Region Veteran Golfers Association Incorporated will be held at the Burns Golf Club Belconnen on Monday 23rd September commencing at 1.00pm (following the Golf).

AGENDA

  1. President to open the meeting and call for any apologies.
  2. The observation of one minute’s silence for recently deceased members.
  3. To confirm the minutes of the Annual General Meeting held on Monday18th September 2023
    and any business arising.
  4. Correspondence.
  5. Presidents Report for 2023/2024.
  6. Treasurers Report for 2023/2024.
  7. Captains Report for 2023/2024
  8. To receive and consider the Club’s audited Statement of Accounts, Auditors Statement, and
    other information as required under Section 73 (1) of the ACT Incorporations act.
  9. To elect a returning officer for the oversight of the Committee election
  10. To elect the new Committee and Office Bearers. (Nomination forms for financial members are
    available on the Associations website: actvetgolf.org and must be received by the Secretary
    not less than 7 days prior to AGM)
  11. To appoint an Honorary Auditor for the current Financial Year.
  12. Playing program for 2025.
  13. To transact any other business which may be brought before the Meeting in conformity with
    the Associations Rules

Minutes of the Annual General Meeting for 2023 of the ACT Region Veteran Golfers Association (ACTRVGA) Incorporated. Date: 18th September 2023. Venue: Burns Golf Club Belconnen

There were 70 members in attendance. Apologies: M.Harrison, J.Gunning, A. Booth, A.Jamonts, I. Wallace

The President, Alan Chrisp opened the meeting and called for a minute’s silence in memory of the our past member Michael Bungey of Queanbeyan Golf club who passed away in January 2023. The President also extended his appreciation to the Burns Golf Club for accommodating the ACTRVGA for our AGM at such short notice.

Minutes of the 2022 AGM: The minutes as published on the ACTRVGA website were taken as read and this was confirmed on a motion moved by Chris Dunstone and seconded by Rod Drayton. There was no business arising.

Correspondence: There was no correspondence to deal with.

Presidents Report: Alan Chrisp (President) presented his annual report. This has been available to members on the ACTRVGA website. He thanked Paul Scollen for carrying out the annual audit. Alan acknowledged the hard work done over the year by fellow committee members in particular the Captain and the Secretary in running the organization and the weekly competitions. Alan also thanked David Calvert for stepping into the Treasurers role with the absence of J. Gunning. This year has been highlighted by three major events:


● Planning and preparation for the 2023 AVGU National Championships in November this year
● Celebrations for our 50th anniversary
● Moving to OneGolf and the Miscore a generous sponsorships from the Tradies, Drummond Golf, Hellenic Club and Gungahlin Lakes have enabled us to put together an attractive package for entrants. Alan thanked the members again for the honor of being your President and for the support and encouragement given to me by the members and committee during my time in the Chair.

The motion to adopt the Presidents report was moved by D.Marron and seconded by A.Jamonts and carried.

Treasurers Report: David Calvert (A/Treasurer) presented a Treasurers report including the audited statement of accounts and financial report as had been published on the ACTRVGA website. David thanked the auditor Mr Paul Scollen. It was noted that the ACTRVGA finances are in a healthy financial position, and we had a small surplus of $734. David acknowledged the contributions made by the sponsors the Tradies club and Gungahlin Lakes. Expenditure for the 50th Anniversary celebrations amounted to $3807. Additional one-off expenditure was incurred by the adoption of the OneGolf system. The motion to adopt the Treasurers report was moved by K.Wark and seconded by M.Hoare and carried. Paul Scollen has again agreed and approved by the committee to conduct the 2023/24 audit as is required.


Captains Report: Chris Morgan (Captain) presented the Captains Report to the meeting as had been published on the ACTRVGA website. Chris acknowledged the tireless work of the committee in supporting him with the tasks associated with gamedays particularly behind the scenes. Chris passed on his thanks to the pro shops staff at the various clubs who assist the vets each week. He also acknowledged the members who have assisted with the adoption of One Golf as our booking and scoring system. The motion to adopt the Captains report was moved by Jim Jackson and seconded by Ron Hickman and carried.

Committee Elections: Under the rules of the Association there was no requirement to elect a new committee at this AGM. The committee felt it prudent to nominate David Calvert to a vacant committee position as he will be taking over the Treasurer’s role and function for the foreseeable future. Nominated by Alan Chrisp and seconded by Ross Norton. The meeting supported the nomination. The Secretary (David Marron) stated that no other nominations or resignations had been received for positions on the Committee.

General Business:

2023 AVGU National Championships – Canberra. Alan Chrisp (President) advised the meeting that the preparation for the 2023 AVGU Championships was well underway. At close of entry there were 320 players entered from across Australia. Many volunteers will be sought to help in November. Members interested in volunteering were asked to forward their names to Chris Morgan. The 2024 AVGU Championships are now to be held in Riverland Region in South Australia following the unavailability of Darwin for 2024
